We are committed to protecting your privacy. This policy explains what personal information we collect, why, and the choices you have.

Who we are

MK Dance (“MK Dance”, “we”, “us”) is a dance school in Croydon and is the data controller for the personal information described in this policy. Postal address: [TBC: confirm with client]. ICO registration number: [TBC: confirm with client].

What we collect

  • Enquiry forms (free trial, contact, nursery and Silver Swans): your name, email address, phone number, and anything you choose to tell us, such as your dancer’s age, the class you’re interested in, or your nursery’s name and location.
  • Registration and payments: when you enrol, your details and your child’s details are collected through our registration system (ThinkSmart) and Direct Debit is set up with GoCardless.
  • Website analytics: only if you accept analytics cookies, Google Analytics collects information about how you use the site, such as pages visited and the type of device used.
  • Technical information: our hosting provider processes your IP address and basic request details to deliver the website securely and to prevent abuse, such as repeated form submissions.

How we use it and our lawful basis

  • To reply to your enquiry and arrange a free trial: steps taken at your request before entering into a contract, or our legitimate interests in responding to enquiries.
  • To run classes, exams and performances for registered pupils, and to take payment: contract.
  • To keep pupils safe, including medical or welfare information you share with us: legal obligation and vital interests, and for health information, the conditions in the Data Protection Act 2018.
  • To understand how our website is used: consent, which you can withdraw at any time using “Cookie settings” in the footer.

We do not sell your information, and we do not use it for automated decision-making.

Who we share it with

We use trusted service providers (processors) who handle data on our behalf and under our instructions:

  • Resend (Resend, Inc.), which sends the emails generated by our website forms, including the notification to us and the confirmation to you. Resend processes your name, email address and the content of your enquiry. Resend is based in the United States, so this involves an international transfer, which is protected by the safeguards required by UK GDPR.
  • Vercel (Vercel Inc.), which hosts this website.
  • Google: Google Analytics, only if you accept analytics cookies, and Google Maps, only if you choose to load a map on a venue page.
  • ThinkSmart Software, our online class registration system, and GoCardless, which collects Direct Debit payments.

Pupils’ details are shared with the Royal Academy of Dance (RAD) and the Imperial Society of Teachers of Dancing (ISTD) when they are entered for exams. We may also disclose information if required by law or to protect the safety of pupils.

How long we keep it

We keep enquiries for up to [TBC: confirm with client, for example 12 months] if you do not go on to join, and records for registered pupils for as long as they dance with us and for a limited period afterwards to meet our legal and insurance obligations.

Photos and video

We sometimes use photos and videos of classes and shows on our website and social media. Please tell us if you do not want your child to be photographed or filmed, and we will respect that. See our terms and conditions and safeguarding page.

Your rights

Under UK GDPR you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information, or to restrict how we use it
  • object to how we use your information, and withdraw consent at any time
  • ask for your information to be transferred to another organisation
  • ask us to stop sending you marketing at any time

If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
